About contacts and prospects

The MLS software provides a flexible contact manager that lets you enter and maintain information on an unlimited number of contacts. The software enables you to track a variety of information about each contact, and gives you space to enter notes. You can organize your contacts by setting up contact groups, such as Appraisers, Mortgage Brokers, Sold Clients, Listing Clients, Family, and so forth, as desired. Only you have access to your contacts; they're saved under your agent ID.

You have the flexibility to manage any of your contacts as a prospect, by selecting the Manage as Prospect option. Then you can save the prospect's search criteria, keep track of listings the prospect might be interested in, and enter comments and dates related to showing properties to the prospect. Additionally, you can activate auto-prospecting so that listings that match the prospect's criteria will be automatically added to the prospect's cart, and sent via e-mail to you (and to the prospect, if you choose). All other functions, besides attaching a prospect search, are available for both contacts and prospects.

The main Contacts page (accessed by choosing Contacts/Prospects from the Contacts pull-down menu) displays both contacts and prospects. Additional information displays for prospects. In the diagram below, the first contact is not a prospect; notice that the Prospect Cart columns are blank.

The second contact, Marina Chester, is a prospect. Under the heading "Prospect Cart" you can view at a glance the contents of the prospect's cart right on the Contacts page (in this case, 6 listings are Newly Matched, 2 are Saved, and 0 are Rejected). You can access the cart by clicking one of the numbers.

If you click the symbol next to a prospect's name, an additional row of information and options for your prospect displays for your convenience:
